What we collect

• Account data: your email address (or details from Google, Facebook or Apple if you use social sign-in), your name, your club name and your age group preference. Your password is handled by our authentication system and is never visible to us.
• Subscription data: if you subscribe to Pro, payments are processed by Stripe. We see your subscription status but never your card details.
• Coaching data you enter: RugbyReady lets you store squad and player information — names, attendance, skill ratings, notes and optional parent contact details. You choose what to enter.
• AI request data: when you ask RugbyReady to generate something — a session plan, a season plan, a player report or an explanation of a zone — the details you give for that request (including the player information a report is written about) are sent to a third-party AI model to produce the text.
• Usage data: anonymous analytics events about which features are used, to help us improve the app.
• Support messages: if you contact us via in-app chat or the Contact page, we keep your message and reply so we can help you.

Player data — who is responsible

• You are the data controller for the player information you enter; RugbyReady stores it on your behalf.
• Player data is encrypted in transit and at rest, is visible only to your coach account, and is never shared with third parties for their own purposes.
• Player data usually includes children's information. You are responsible for having the appropriate permission from your club and from the players' parents or guardians before you record it, and for telling them that training and development records are kept using this service.
• Parent name and contact details are optional — only store what you need for your coaching purposes.
• You can delete a player and their development history at any time from the Squad page. If a parent asks for their child's data to be erased, you can action it instantly by deleting the player.
• If you join a club on RugbyReady, that club's admins can see that you are a coach on the club and basic activity information about your account — your email address, when you last signed in, how many plans you have built and whether you are on the Free or Pro plan. They cannot see your players, your session plans, your player notes or your player reports. That access ends when you leave the club.

Cookies and advertising measurement

• Essential cookies keep you signed in and protect the site from bots (including Cloudflare Turnstile, which may set a cf_clearance cookie). These are needed for the site to work and don't need consent.
• Analytics and advertising cookies are set only if you accept them on our cookie banner. We use the Meta Pixel (which may set an _fbp cookie) and the Google Ads tag (which may set a _gcl_au cookie) to measure whether our advertising leads to sign-ups. Both are loaded in a consent-denied state, so they set nothing until you accept.
• If you choose "Essential only", no advertising or analytics cookies are set and no measurement events fire.
• Your choice is remembered in your browser's local storage rather than a cookie, so we don't ask you again on every visit.
• You can change your choice at any time using the "Cookie settings" link in the footer.

Third parties we rely on

• Authentication: Google, Facebook and Apple (social sign-in, where offered)
• Billing: Stripe
• AI generation: the AI models used through our app platform, which produce session plans, season plans, player reports and zone explanations from the details in your request
• Email delivery: our email service, which sends the messages described in section 6
• Advertising measurement: Meta and Google (consent-gated, see section 3)
• Bot protection: Cloudflare
• Hosting and data storage: our app platform provider
• Each of these providers only receives what it needs to do its job, and processes it on our instructions or under its own terms.

How we use your information, and our lawful basis

• To give you the service — your account, your plans, your squad and player records. Lawful basis: performing our contract with you.
• To take payment and manage your subscription. Lawful basis: performing our contract with you.
• To send you the emails described in section 6. Lawful basis: performing our contract with you for service and account emails; our legitimate interests for occasional product and coaching emails, which you can opt out of at any time.
• To measure and improve the app and our advertising. Lawful basis: your consent, which you give on the cookie banner and can withdraw at any time.
• To keep the service safe and secure. Lawful basis: our legitimate interests in protecting the app and its users.
• We do not sell your personal information, and we do not use player data for advertising.

Emails we send you

• Account and service emails: things like confirming your address, resetting your password, and telling you about a billing problem. These are part of the service and can't be switched off while you have an account.
• Product and coaching emails: occasional emails such as a nudge if you haven't planned a session recently. These are optional.
• You can opt out of product and coaching emails at any time using the Emails toggle in Settings. Opting out never affects your account or your access to the app: account, billing and support emails are part of the service and are always sent.

Your rights

Under UK GDPR you can ask us to access, correct, delete or give you a copy of your personal information, and you can object to or restrict our processing. Contact us via in-app chat or the Contact page and we will respond within one month. You can also delete your account and its data from within the app at any time. We never charge for these requests. If you are unhappy with how we have handled your information, you can complain to us first, and you also have the right to complain to the Information Commissioner's Office (ico.org.uk).

Data retention

• Account and coaching data: kept while your account is active, and deleted when you delete the data or close your account.
• Support messages: kept for as long as we need them to help you and to keep a record of what was agreed.
• Billing records: kept for as long as tax and accounting rules require, even after you cancel or close your account.
• Backups: when you delete data it is removed from our live systems straight away; copies in routine backups expire on the provider's standard schedule.

Children

RugbyReady is a tool for adult coaches and accounts are for coaches aged 18 or over. We do not knowingly create accounts for, or collect information directly from, children. The app does store information about children — the players in your squad — but only because their coach enters it, and it is the coach's responsibility to have the appropriate permission to do so (see section 2).

International transfers

Some of our providers process data outside the UK. We use providers that offer appropriate protection for such transfers, such as UK adequacy arrangements or equivalent contractual safeguards.

Changes to this policy

We may update this Privacy Policy; the current version is always on this page with its "last updated" date. If a change materially affects how we use your information, we will tell you by email before it takes effect.
